What we’re looking for

You are highly organized, detail-driven, and thrive when working with numbers and financial systems. You’re the kind of person who naturally keeps things accurate under pressure, juggles multiple priorities with ease, and approaches challenges with a calm, proactive mindset. You communicate clearly, collaborate well with others, and take pride in keeping operations running smoothly and efficiently.

As the Finance Administrator (15 month Maternity Leave Contract), you’ll be at the heart of our financial operations. From managing payroll and overseeing accounts payable and receivable to reconciling accounts and supporting grant applications, you bring precision, care, and accountability to every task. You’re confident in navigating tools like Xero, Stripe, Dext, and Hubspot, and you find satisfaction in maintaining well-organized records and processes that keep everything on track.

The Job

  • Payroll Administration
    • Process payroll accurately and on time submission to our payroll specialist
    • Manage employee records related to payroll
  • Accounts Receivable / Payable
    • Process invoices, schedule payments, and resolve purchase order discrepancies.
    • Maintain vendor records, respond to inquiries, and ensure accurate reconciliation of monthly statements.
    • Prepare and send monthly invoices to clients and track payments
    • Monitor accounts for discrepancies and follow up on outstanding balances
  • General Financial Support
    • Manage accrual processes for payables and receivables, ensuring accurate financial recording and compliance.
    • Monitor expenses, review vendor contracts, and track overall revenue and expenses against the company budget.
    • Support financial reporting, assist with audits, and provide administrative assistance to the finance team.
    • Collaborate with the accountant and bookkeeper to reconcile company books and ensure accurate monthly/annual financial reporting.
    • Assist in preparing financial statements and budgets.
  • Grant Management
    • Manage grant applications with third-party strategists and track expenditures to ensure timely reporting to funding agencies.
  • Revenue Operations
    • Manage revenue operations using tools such as Xero, Stripe, Dext, Float, Plooto and Hubspot to ensure accurate financial operations and reporting.

Qualifications

  • Bachelor’s Degree in Finance, Accounting, or a related field is preferred but not required; advanced certifications such as CPA or CMA are considered a strong asset.
  • Proven experience in financial management or accounting, ideally in a similar role.
  • Proficiency with financial software and systems, including Xero, Dext, Float, Hubspot, and other accounting platforms.
  • Excellent organizational skills and a keen eye for detail to manage multiple tasks, meet deadlines, and ensure accurate financial reporting and record-keeping.
  • Strong interpersonal and communication skills to effectively manage relationships with vendors, payment processors, and internal stakeholders.
  • Commitment to confidentiality with the ability to safeguard sensitive financial information.

To ensure that our financial management and operations not only uphold the integrity and efficiency of our fiscal practices but also align with our company's strategic mission and goals, we evaluate the performance of our Finance Administrator based on the following key performance indicators (KPIs):

  1. Accuracy of Financial Reports: Ensuring financial statements and monthly reports are precise, reliable, and provide an accurate representation of the company’s financial status.
  2. Efficiency and Timeliness in Financial Operations: Managing accounts payable and receivable with accuracy and efficiency, including timely invoice processing, resolution of payment discrepancies, and consistently meeting deadlines for financial reporting (e.g., month-end close).

Compliance and Audit Readiness: Maintaining up-to-date, audit-ready financial records while consistently adhering to regulatory requirements and company policies.
